Our Booking Terms & Conditions

These Terms & Conditions stipulate the legal terms by which tickets are sold for any, and all events, organised by The Community of Christ Prince of Peace. These terms must be read and agreed to by the lead delegate before purchase. The lead delegate must also agree to these terms on behalf of any additional group delegates. Any queries about these terms must be raised with Us prior to purchase by emailing booking@princeofpeace.org.uk. These terms are subject to change according to updates in law and legislation. Any changes that affect Your purchase will be updated on Our website.
1. INTERPRETATION:
– “You” or “Your”means the lead delegate who made the booking.
– “We”, “Us”, or “Our” means The Community of Christ Prince of Peace (Charity No. 1002998).
– “Ticket” means any valid identifier (i.e., badge, wristband) that permits a delegate to attend the event.
– “Venue” means all site locations and facilities where the Event is being held.
– “Receipt” means the confirmation We provide to confirm Your purchase.
– “Conduct of Conduct” means our Event Venue rules and regulations.
– “Administration Fee” means the administration costs relating to the sale of tickets. Administration Fees are detailed at the time of purchase.
2. TICKETS
2.1. Your booking contract with Us will begin when We issue You with Your receipt. Your contract with Us will be on the terms set out in these terms and conditions.
2.2. You, as the lead delegate, must be at least 18 years old at the time of purchase.
2.3. It is Your responsibility to ensure that You have provided the correct information, including email address, when completing the booking form. If you do not receive Your receipt, please contact booking@princeofpeace.org.uk
2.4. We can only discuss Your booking with You as the lead delegate. Any changes to Your booking are subject to Our discretion.
2.5. Tickets remain Our property. We reserve the right to withdraw tickets/refuse admission to the Event at any time.
2.6. Tickets will be administered to delegates upon arrival at the Event. You, as the lead delegate, must provide Your receipt as evidence of Your booking. Failure to do so may lead to refusal of entry at the Event without refund.
2.7. Tickets must be worn at all times by delegates to gain access to the Event.
2.8. Tickets may be invalidated if they are altered or defaced in any way. Replacement tickets will incur a £5 administration fee.
2.9. We will only consider requests for changes to bookings and/or refund requests where exceptional circumstances apply such as death or terminal illness meaning the ticket holder is unable to attend. We may request that You provide evidence in support of Your request for refund such as a doctors note. In all instances We reserve the right to refuse to make changes or to refund Your booking at any time without further explanation, subject to Your statutory rights. Our decision is final.
2.10. Tickets are non-transferable.
2.11. Tickets are sold subject to Our right to change the Event due to circumstances beyond Our reasonable control.
2.12. Where limited Ticket availability applies, We cannot guarantee You a Ticket. Limited availability will be notified on Our website.
2.13. As stipulated in clause 10.1 and 10.2, Donations made by You are used to support the work of The Community of Christ Prince of Peace.
3. PAYMENTS
3.1. Tickets must be paid in full at the time of booking.
3.2. In line with merchant legislation, cardholders must be present when their credit or debit card is used to make a payment.
3.3. Whilst all reasonable measures have been taken by Us to secure the booking process – by booking online, you agree that using the internet can never be entirely secure.
3.4. In the unlikely event that a duplicate payment is taken by Us, You must email Us at booking@princeofpeace.org.uk, providing your receipt details.
4. RIGHT OF ENTRY
4.1. Your Right of Entry to the Event is subject to the rules and regulations stated within these terms and conditions.
4.2. You’re Right of Entry is subject to full payment of Ticket fees.
4.3. For licensing purposes, You and all delegates in Your group must have a valid Ticket to enter the Event.
4.4. Children under the age of 18 in Your group must be accompanied by a parent/guardian who must remain onsite throughout the Event. You agree that We do not accept any parental or supervisory duty of care or liability when children under the age of 18 do not attend the age-appropriate streams We provide.
4.5. If circumstances require/demand, You agree to possible personal security searches (including of vehicles and bags) by qualified security personnel.
4.6. We retain the full right to refuse Entry or evict You from the Event, without refund or compensation, should You display any anti-social behaviour or be in possession of dangerous weapons or illegal drugs. If You are found to be in possession of dangerous weapons or illegal drugs, then You will be reported to the police or other relevant authorities. Our decision is final.
4.7. By purchasing a Ticket, You, as the Event audience, give express consent to being audio-recorded, filmed, and photographed without payment. This includes consent on behalf of all delegates in Your group, including children under the age of 18. By consenting You grant Us express permission to use, own and copyright such media/materials for Our purposes. If You, or anyone in Your group, do not wish to be audio-recorded, filmed, or photographed, it is Your responsibility to advise Us at booking@princeofpeace.org.uk so that We can ensure appropriate measures are taken.
4.8. Due to amplification of noise at the Event (music, speaking, announcements), We recommend the use of Ear Defenders/Ear Plugs for those who have hearing issues. All delegates must ensure they take the necessary precautions to protect their health.
4.9. Under no circumstances are pets/other animals permitted onsite except Assistance Dogs who are trained and identifiable. If You need to bring an Assistant Dog, You must contact us on booking@princeofpeace.org.uk prior to Your arrival at the Event.
4.10. Unauthorised trading or the selling of goods/merchandise onsite is strictly prohibited.
4.11. Unauthorised distribution of flyers onsite is strictly prohibited.
4.12. Unauthorised use of drones, photography, recording, or filming is strictly prohibited.
4.13. Due to Fire Regulations, open-fires or low-level portable/disposable BBQs are not permitted anywhere onsite.
4.14. You must use the designated smoking area detailed in the Event sitemap. Smoking is strictly prohibited in undesignated areas.
4.15. You must not deface or damage the site and its facilities, including vandalism and theft of tentage, equipment, technology, or the personal belongings of other delegates. Those who do so, will be evicted and reported to the police and other appropriate civil authorities for prosecution and recovery of loss due to damage.
4.16. You agree to follow the direction of all Event staff (including Event signage) and Venue staff. It is Your responsibility to make Yourself aware of the Event rules and regulations.
6. SPECIAL REQUIREMENTS
6.1. It is Our utmost priority to make Our Events accessible to all. If You or a delegate in Your group has special requirements, it is Your responsibility to let us know at booking@princeofpeace.org.uk, so that We can advise You of how We may be able to support Your needs. Depending on the Event/Location, We cannot guarantee that Your needs will be fully met.
7. CHANGES & CANCELLATIONS (REQUESTED BY YOU)
7.1. If You need to correct any mistakes on Your confirmed booking, You must email Us as soon as possible at booking@princeofpeace.org.uk.
7.2. In all instances We reserve the right to refuse to make changes at any time without further explanation, subject to Your statutory rights.
7.3. 7.4. Any agreed refunds will be made as soon as possible. Refunds can only be made to the original payment method used at the time of booking.
8. CHANGES, CANCELLATIONS & REFUNDS (INITIATED BY US)
8.1. The Event may be subject to an Event licence issued from local authorities. If license conditions apply, we may have to amend our Terms and Conditions. All updates will be available on Our website (www.princeofpeace.org.uk) and communicated to You by email.
8.2. In the unlikely situation that We have to postpone or cancel the Event due to restrictions imposed on Us by Our insurers, local council, government or other authority, You can either:
1) defer Your booking/ticket(s) to event
2) request a refund, or
3) gift Your booking payment as a donation to The Community of Christ Prince of Peace.
8.3. If We do not hear back from You in connection with the three options stipulated in clause 8.2, Our default action will be to refund You the total amount refundable. Refunds can only be made to the original payment method used at the time of booking and do not include any administration fee which is a non-refundable cost.
8.4. In connection with clause 8.2 and 8.3, We do not accept responsibility for any additional costs other than those You paid directly to Us. You therefore agree that We shall not be held liable for any costs beyond the price of Your actual booking/ticket(s), such as travel or third-party accommodation.
8.4. If We have to postpone or cancel the Event, We will take all reasonable means to communicate this to You.
8.5. Whilst we will endeavour to deliver Our advertised Event programme, we reserve the right to alter the programme (such as keynote speakers) without being required to provide You with a refund.
9. EVENTS OUTSIDE OF OUR CONTROL
9.1. We do not expect to have to make changes to or cancel Your booking. In the unlikely event that We do have to, a full refund will be made using the payment details You provided at the time of booking as per clause 8.2.
9.2. We will only change or cancel Your booking for reasons beyond our control including (but not limited to): Severe weather event, flood, drought, fire, explosion, earthquake, subsidence, epidemic/pandemic (including Covid19) or other natural disaster, lockdowns, strikes or industrial action by third parties, terrorist attack or threat of terrorist attack, war or threat of war, civil commotion, riot, invasion, failure of electrical power or public/private telecommunications networks.
9.3. We will not be responsible for any failure or delay to perform Our obligations under these terms and conditions that is caused by an event outside of Our control.
10. DONATIONS
10.1. If You make a donation towards The Community of Christ Prince of Peace, You have no legal right to ask for it to be returned. However, under exceptional circumstances (such as illness, bereavement, or redundancy), We may consider refunding Your donation as a gesture of good-will.
11. LIABILITY
11.1. You agree that We shall not be held liable for any indirect or consequential personal costs, claims, expenses, or losses including but not limited to travel, accommodation, hospitality, or loss of earning’s, arising out of or in connection with the Event and Venue, including cancellation of the Event, and/or Our obligations under these Terms.
11.2. You agree that We shall not be held liable for any loss, injury or damage to You or Your property arising out of the Event/Venue, including but not limited to personal injury, illness, vehicles, tents, clothing, smart devices/accessories, laptops, iPads, electronics, food etc (except in the case of negligence or an intended malicious act by Us).
11.3. In relation to clauses 11.1 and 11.2, You are encouraged to take out the appropriate insurances.
11.4. You agree that We are not responsible for the condition/quality of products supplied and/or sold by third parties at the Event, including but not limited to merchandise, books, flyers, and clothing. All queries must be made direct to the third party.
11.5. You agree that We are not responsible for the health, hygiene and quality of food sold by third parties at the Event. All queries must be made direct to the third-party.
12. DATA PROTECTION (HOW YOUR PERSONAL INFORMATION IS USED)
12.1. Your personal data including but not limited to Your name, postal address, email etc., is processed (collected, used, and stored) in accordance with the Data Protection Act 2018 and Our Privacy Policy. For further information or to see how Your data may be used (including but not limited to bookings, payments, and services We provide) please see our privacy policy.
13. LAW
13.1. These terms and conditions are governed by English law. You and We both agree to submit to the exclusive jurisdiction of the English Courts.
